Managing Data Privacy and Intellectual Property in European Research Collaboration

In today’s research and innovation landscape, data is everywhere, from online surveys and interviews to collaborative platforms and open training materials. For projects like NextTechTalents, which connects universities, research organisations, and industry partners across Europe, responsible data management is more than a regulatory requirement, it’s a shared commitment to transparency, trust, and quality.

Building Trust Through Responsible Data Management

The NextTechTalents project explores how Europe can nurture the next generation of research and innovation talent in digital and green technologies. To achieve this, the consortium collects and analyses insights from researchers, employers, and training providers through structured interviews, surveys, and workshops.

This means handling personal and professional information with care. Following the principles of the General Data Protection Regulation (GDPR) and Horizon Europe’s ethics framework, all data processing within the project is governed by a clear Data Management Plan (DMP). The DMP defines how data are collected, stored, anonymised, and, when appropriate, shared in open, FAIR-compliant formats (Findable, Accessible, Interoperable, and Reusable).

Each partner institution follows established internal protocols for secure data storage and transfer. Consent forms are designed in plain language, ensuring participants understand exactly how their contributions will be used. No personal data are shared beyond what is necessary for analysis, and all records are stored in secure, access-controlled environments.

Intellectual Property: From Compliance to Collaboration

NextTechTalents also recognises the importance of managing intellectual property rights (IPR) in a way that supports collaboration and innovation. Research materials, training designs, and policy recommendations developed within the consortium are protected through clear ownership and licensing agreements.

At the same time, the project embraces the “as open as possible, as closed as necessary” principle encouraged by the European Commission. Publications and communication outputs are made openly accessible whenever possible, while respecting confidentiality and the legitimate interests of all partners. This balance ensures that the project’s knowledge is both safeguarded and widely shared, supporting sustainable impact across Europe’s research ecosystem.

Turning Policy into Practice

Implementing these principles across multiple countries and organisations can be complex. The consortium has developed internal checklists and guidance documents to harmonise procedures among partners. These include templates for informed consent, a shared data classification scheme, and a common repository for metadata and documentation.

Rather than treating compliance as an administrative burden, NextTechTalents uses it as a learning opportunity.

Through its experience, NextTechTalents has identified several practices that may benefit other Horizon Europe initiatives:

By embedding ethics, privacy, and openness into its daily work, the project shows that integrity and innovation go hand in hand.

Through its collaborative approach, NextTechTalents is not only developing new tools and insights, it is also setting a standard for how future research partnerships can thrive in a secure, transparent, and inclusive environment.
